For Yamaha Motor Europe N.V.(YME), located at Schiphol-Rijk in the Netherlands, we are looking for a Facilities & General Affairs Administrator in our Facility and General Affairs Depatment
About the role
Under the direction of the Department Manager Facility & General Affairs, the Facilities & General Affairs Administrator is the first point of contact at the Facility Helpdesk and supports facility services, maintenance and other building related topics.
The Administrator serves as the main point of contact for internal customers, and subcontractors. The Administrator will support with (smaller) contracts both technical as service.
Your Responsibilites
1.Facilities & General Affairs services
Daily maintain the Facility Helpdesk, including related tools, systems, and administration. Handle and resolve operational Facilities & General Affairs requests and complaints within agreed timelines while adhering to facility policies. Arrange all facility-related services for onboarding and offboarding, such as access badges, workspaces, business cards, and keys. Act proactively toward both the Facilities & General Affairs Department and end users. Support daily facility services, including events, meeting room preparation, distributing supplies and participate in Facilities & General Affairs projects beyond daily operations.
2. Building & Office Maintenance
Perform and supervise day-to-day (small) maintenance of the offices, buildings & terrain. Coordinate the (small) technical / building maintenance activities. Perform routine checks on the Yamaha property to see if everything is in good order. Provide action lists and support the Department Facilities & General Affairs to deal with contractors and subcontractors during repair and maintenance. Organize and set up local space allocations within the buildings. Maintain site occupancy records and floor plans. Provide inventory lists of furniture in stock. Maintain art and green space.
3. Administration
Control, maintain and update the Facilities & General Affairs administration, general folders, action lists and the key administration of the buildings. Check, register and supervise invoices and contracts of the Facilities & General Affairs department. Set up and maintain several tools, systems and administration of the Facilities & General Affairs department. Support the Facilities & General Affairs team with controlling contracts of Facilities & General Affairs services (security, cleaning, catering, etc.), etc.
4. Sub-contractors
Make sure that the (sub-) contractors and suppliers deliver according to the assignment and/or contract agreements and sign off working sheets. Guard and coordinate the suppliers’ portfolio and the whole administration process of the contractors (make orders, code and sign invoices, action list, etc.). Obtain best quality and price combination. Report to the Department Manager Facility & General Affairs.
5. Safety & Security
Support the Facilities & General Affairs team in controlling and improving Health & Safety, Security, Environmental care, and other statutory requirements across Yamaha Motor Europe NV’s buildings and grounds. Monitor and supervise the quality of health & safety measures, prevention equipment, and contacts with fire brigade and municipal inspectors to ensure a safe environment for staff and visitors. Safeguard security policies and procedures for Yamaha’s security and access control systems. Maintain and coordinate the access control system, including all related administration, and work closely with security guards.
6. Supplies
Coordinate, monitor, procure and keep track of supplies and all other related facilities supplies according to the policies and procedures. Best quality and price combination. Order specific items for employees with proper approval.
What do you bring?
This position is extremely suitable for someone with experience in a Facility/Technical working environment. Must be able to operate effectively with minimal direct supervision. Should coordinate customer expectations, while observing the facilities guidelines and standards. Balance multiple priorities and adjust to new situations dictate. Also must be available to work overtime when work dictates.
• Education minimum MBO+ degree Facility, Hospitality or Technical;
• At least 3 years’ work experience in similar working environment;
• Ideally technical knowledge of building services;
• Physically capable to setup meeting rooms and to do internal moves;
• Strong planning skills and able to work very accurately;
• Excellent spoken and written communication skills in English and Dutch;
• Consistent professional and representative appearance and manner;
• Strong experience of Microsoft Office package and administrative capabilities;
• Experience with FMIS (Jira) & Vector works has a preference
• Driver’s license B.
